Refund & Cancellation Policy

At Hotel Response, our goal is to help hotels generate more revenue and save time through automation, systems, and advisory services. Because our offerings include both recurring SaaS subscriptions and one-time professional services, our refund and cancellation policies vary by product type.

Please review the details below carefully.


Free Trials (Where Applicable)

Some SaaS plans may include a 7-day free trial, unless otherwise stated.

- If you cancel before the trial ends, you will not be charged.

- Once a paid subscription begins, the applicable paid policy below applies.

- Free trials are available for SaaS subscriptions only and do not apply to one-time services.


Recurring SaaS Subscriptions

This applies to subscription-based products such as:

- Hotel Core AI™ — $397/month

- Reputation Management — $297/month

Monthly Plans

- Subscriptions renew automatically each month until canceled.

- Monthly subscription fees are non-refundable once charged.

- You may cancel at any time from within your Hotel Response account dashboard.

- Cancellations take effect at the end of the current billing cycle.

- Your account will remain active through the end of the paid period.

Annual (Prepaid) Plans

- Annual plans are prepaid and include 2 months free (10 paid months).

-- Annual payments are non-refundable once processed.

- Annual plans renew automatically unless canceled at least 10 days prior to the renewal date.

- Early cancellation does not result in refunds, proration, or credits.


One-Time Services (Non-Refundable)

This applies to all one-time or project-based services, including but not limited to:

- CRM Boost™

- AI Audits

- Any custom consulting, setup, or advisory services

- One-time services are not subscriptions and cannot be canceled once purchased.

- All fees for one-time services are non-refundable, regardless of usage, results, or timing.

- Service delivery typically begins immediately upon payment or onboarding.

- By purchasing a one-time service, you authorize Hotel Response to begin work and acknowledge that no refunds, reversals, or - chargebacks are permitted once service has commenced.

Courses, Coaching & Advisory Programs

- Digital courses and training programs include a 30-day money-back guarantee, unless otherwise stated.

- High-ticket coaching, consulting, or advisory programs are refundable only if requested within 30 days and before any live sessions, interviews, or delivery has begun.

- Once delivery has started, fees are non-refundable.


Physical Goods (If Applicable)

- If your purchase includes physical materials (e.g., books or workbooks):

- Items must be returned in resellable condition to qualify for a refund.

- Return shipping costs are the responsibility of the customer.


How to Cancel

- Recurring SaaS subscriptions may be canceled at any time from within your Hotel Response account under the Billing or - Subscription section.

- You may also request assistance by emailing [email protected].

- Cancellations prevent future charges but do not result in refunds for the current billing period.-

Access remains active through the end of the paid term.


Data Access After Cancellation

- You may export your data prior to canceling your account.

- Upon written request, we will provide one (1) data export within 10 business days following cancellation.

- Account records are retained for up to 90 days after cancellation, after which data may be deleted or anonymized.


Disputes & Chargebacks

If you experience a billing issue, please contact [email protected] before filing a chargeback.

- Most issues can be resolved quickly.

- Filing a chargeback without prior communication may result in account suspension while the matter is reviewed with our payment processor.

- Disputes are governed by the Hotel Response Terms of Service and Arbitration Agreement.
